Opening PUB Files Without Microsoft Publisher

Discover more ways to share, view, or open PUB files.

what you need to know

  • PUB files are the easiest Microsoft Publisher file format to open in Microsoft Publisher.
  • If you don’t have Publisher, you can use LibraOffice Draw, CorelDraw, or any other program that supports the .pub format.
  • You can also use Zamzar to convert the .pub file you want to open to another more user-friendly file format.

The easiest way to open a .pub file is with Microsoft Publisher, the program that created the file. If you don’t have MS Publisher, there are several other ways you can open .pub files.

How to view PUB files without Microsoft Publisher

If you have a Microsoft Publisher document but do not have access to Publisher, there are tools, viewers, and shortcuts to open .pub files created in Microsoft Publisher. Part of the LibreOffice open source suite, LibreOffice Draw is a great tool for opening Publisher files.

LibreOffice drawing

In most cases, it’s a good idea to convert your Publisher files to another, more common format. There are several methods you can use to create shareable Publisher files. PDF is always a good choice, but before Publisher 2010, Microsoft Publisher didn’t have a built-in PDF export feature.

If the content, not the layout, matters the most (you don’t need graphics), the best way to exchange information is plain ASCII text. However, if you want to include graphics and preserve the layout, plain text is not for you.

Create files to share using Microsoft Publisher

If you want to share a Publisher 2000 (or later) file with Publisher 98 users, save the file in Pub 98 format.

Microsoft Publisher

Create printable files from Publisher documents

Sends a file to the recipient that can be printed on a desktop printer. You can’t see it on the screen, but you get pretty accurate prints. Several methods are available, but each method has its drawbacks.

Save file in PostScript format

To create a .ps file, go to: file menu, selection save asthen select save as drop-down arrow and select P.s. This method is commonly used to prepare files for commercial printing. If the recipient has a PostScript capable printer, they can print the file.

Save a Publisher document as an EPS file

EPS files, commonly used for commercial printing, can be opened by many graphics programs. To print an EPS file, you must open it in another program (such as PageMaker or QuarkXPress). A separate EPS file is created for each page in your publication.

To create an EPS file in Publisher, go to: file > printthen in print selection dialog box Printer Settings > property. Choose Encapsulated PostScript (EPS) In PostScript output format. To print each page individually output as data.

Print Publisher documents as PRN files

When printing your publication, choose: output as data checkbox. Publisher creates a PRN file instead of printing to a printer. used by recipient doscopy A command to send a file to a desktop printer ( DOS prompt type Copy filename.prn lpt1 or lpt2depending on printer location).

If the printer does not match the recipient’s printer, the PRN file may not print exactly as expected. If you regularly exchange files with recipients, obtain a copy of the printer driver for that printer and use it to create the publisher’s PRN file.

Create HTML files (web pages) from Publisher files

After you convert a Publisher document to an HTML file, you can publish the file to the web and send an address to the recipient to view the file, or send the HTML file to the recipient for offline viewing in a web browser.

When sending the file, include all graphics as well, and set the file so that all HTML files and graphics are in the same directory. This allows the recipient to save the file anywhere on their hard drive.

Alternatively, take the HTML code created by the publisher and send the email in HTML format. The procedure for sending an HTML email depends on your email client. How recipients receive HTML e-mail depends on the e-mail client they are using (and whether they accept e-mail in HTML format).

Create PDF files from Publisher documents

Convert Publisher documents to Adobe PDF format. Versions of Publisher prior to Publisher 2007 do not have a PDF export option. Instead, use a program like Adobe Acrobat Distiller.

To create a PDF file, create a PostScript file and then use Adobe Acrobat to create the PDF file. Recipients can view or print the document on their screen. However, recipients must have the free Adobe Acrobat Reader installed. There are also printer drivers and software that most Windows applications can use to create PDF files.

Convert PUB to PDF

In Publisher 2007 and 2010, you can save Publisher files as PDFs from within the program and send them to anyone who has software (including free Acrobat Reader) that can open or view PDF files.

If you have a native Publisher Format (.pub) file but don’t have access to Microsoft Publisher, you have several options.

Get a Publisher Trial

You can use the full Office suite with a free trial from the latest publisher. Use it to open and view files.

Convert Publisher files to other software formats

It may be possible to convert a PUB file to the native format of other desktop publishing software. Make sure the software you choose accepts PUB files (and versions of PUB files) by checking the import options. PDF2DTP is a plug-in that converts Publisher files to InDesign.

When using applications such as PDF2DTP, some elements of the file may not be converted as expected.
