Zoho Mail is a solid email service aimed at professionals. A free Zoho Mail account offers ample storage, POP and IMAP access, instant messaging, and some integration with online office suites. But organizing your emails, identifying important messages and contacts, and sending standard replies can be much more helpful.

What is an office without a post office? Of course, not Zoho’s suite of online apps. Like editing, spreadsheet and presentation programs, Zoho Mail is an ambitious desktop application replacement.

Enough disk space, POP and IMAP access

With Zoho Mail you get plenty of storage space expandable to 5GB, full terabytes (for a fee) for personal accounts, and you can set up different email accounts in Zoho Mail to send and receive emails. Zoho Mail also allows POP and IMAP access.

What works for both POP and IMAP is access to Zoho Mail. Set up from your favorite email program from your desktop or palm, or Zoho Mail can forward new messages to any email address. A nice addition would be to use filters to only forward specific messages. Zoho Mail’s rules are usually somewhat limited in the actions you can take.

Some paid accounts also allow you to set up Zoho Mail via Exchange ActiveSync to get push emails to your mobile device and seamless calendar and address book synchronization.

Filter and Search

There are basic functions. Filters can delete, archive, and even label emails based on various criteria. Labels, called tags, are available in color in Zoho Mail and help organize and search your emails with fast and powerful searches.

As with self-learning folders, it’s helpful to be able to save your search criteria into folders. I am learning spam filters of course and had to teach a lot of good mail in my tests.

To compose new messages and replies, Zoho Mail provides message templates that act as pieces of text that you can easily paste into emails for commonly used phrases or entire mailings. You can manage and use multiple email signatures in a similar way.

Zoho Mail integrates email with other applications and some with Google Docs. For example, you can easily share documents, add leads to a customer relationship management app, or log events, but interactions are often rare. Zoho Mail is data unaware and you must copy and paste the address to retrieve a contact’s email. The built-in Zoho Chat can communicate with many instant messaging networks.

Zoho Mail comes with convenient keyboard shortcuts and its web interface is application-like, providing both traditional and widescreen views. Keep your folders clean by automating archiving. Numerous features, buttons, and menus seem to break simplicity in some places.
